We’re a Dutch-Moldovan partnership introducing cutting-edge precision agriculture technology to help vegetable farmers increase yields, improve sustainability, and access better markets. To share our progress and inspire change, we’re looking for a part-time Project Administrative Coordinator (10–15 hrs/week) based in Moldova or Romania, we accept applications from candidates in other locations in Europe.
Position Overview
This Impact Cluster brings together multiple partners—including a financial institution, agritech provider, and agronomists—to transform the vegetable sector through technology, data use, and capacity building.
The Administrative Assistant provides critical administrative, logistical, and coordination support to ensure smooth implementation across partners and workstreams. Responsibilities include timesheet follow-up, invoicing coordination, meeting scheduling, documentation management, travel logistics, and support in monitoring and reporting. The role requires a detail oriented, proactive professional capable of working with multiple organizations and stakeholder
Reports to: Project Manager
Key Responsibilities
Track and follow up on timesheets, invoices, expense claims, and deliverables across all project partners
Maintain accurate, up‑to‑date administrative records
Support day‑to‑day project coordination across partners and workstreams
Schedule and coordinate internal and partner meetings
Prepare meeting agendas, take minutes, circulate action points, and follow up on completion
Organize and manage project documentation, ensuring proper filing and version control.
Coordinate invoice collection and support basic budget tracking and financial documentation
Support monitoring and reporting by collecting partner data and updating monitoring tools
Skills
Fluent in English and Romanian.
Excellent organizational and time management skills.
Strong communication and follow-up abilities.
Proficient in MS Office (Outlook, Excel, Word, Teams).
Details oriented with the ability to manage multiple deadlines.
Ability to collaborate with diverse stakeholders (finance teams, technical partners, field staff).
Basic financial administration skills (invoice checking, expense tracking).
